How SaneBox Works in One Minute

SaneBox adds smart folders to the email account you already use. It connects to your mailbox, studies how you handle mail, and moves messages it considers unimportant into separate folders on your email server. Because the folders live on the server, they appear in Gmail, Outlook, Apple Mail and your phone without extra apps.

According to SaneBox's FAQ, it works from header data such as sender, subject and date, and it never stores full emails. It looks at signals like which messages you open, which you reply to, how quickly you respond and how long you have corresponded with a sender. You train it by moving messages between folders. If SaneBox goes offline, mail simply stays in your inbox.

Filtering and Sorting Features

SaneLater

SaneLater is the core feature. Email that is not important to you is routed here instead of cluttering your inbox. You can visit it any time, and the digest summarizes what is inside. If a VIP message lands there, move it back to your inbox so SaneBox learns.

SaneNews

Newsletters and updates collect in one folder so you can read them when you choose. You can also train SaneBox by dragging newsletters into the folder.

SaneCC

If you are copied on a lot of email, SaneCC separates those messages from mail sent directly to you.

DIY Training Folders

You can create custom folders under trainable folders, such as one for receipts. After you move a few emails into it, SaneBox starts sorting similar mail there automatically.

Sender and Distraction Control

SaneBlackHole

SaneBlackHole is for senders you do not want to hear from. Move a message in and future email from that sender is routed away from your inbox. Deleted mail can later move to Trash. Note that this does not unsubscribe you from the sender. See the unsubscribe guide if you also want to stop the mailings.

Do Not Disturb

Do Not Disturb holds new mail in a folder during times you set, such as weekends, so you can focus.

Follow-Up and Time Features

SaneReminders and Follow-Up

SaneReminders use special addresses. Put an address such as a 3-day or 1-week address in the To or BCC field. If you BCC the address when sending, the message returns to your inbox only if nobody replies in time. Adding a keep option brings it back at the scheduled time whether or not someone replies. You manage reminders in the SaneBox dashboard.

SaneSnooze

Snooze sends an email away until you are ready. SaneBox describes folders such as tomorrow and next week, plus custom timeframes. Each reminder email also includes a snooze link, and those links expire after five days.

Cleanup Features

Deep Clean

Deep Clean scans your mailbox and summarizes what takes up space so you can select unneeded categories and purge them. It is designed for large backlogs and is one reason many people begin with SaneBox on an overloaded account.

Daily Digest

The Digest is an executive summary of unopened email that SaneBox filtered. From it you can mark messages as read, archive or delete in bulk, and retrain SaneBox. Green dots mark unfamiliar senders and orange dots flag messages you may want to avoid, according to SaneBox.

AI and Productivity Add-Ons

SaneBox's help pages list AI features that include summaries of an email or thread and AI reply drafts saved in your Drafts folder for review. They also list SaneTodo for turning emails into tasks. These tools are add-ons to the filtering core rather than the main reason people choose SaneBox. Availability depends on plan.

What SaneBox Does Not Do

  • It is not an email client, so you keep using Gmail, Outlook or Apple Mail.
  • It does not unsubscribe you automatically through the blackhole.
  • It is built around individual inboxes rather than shared team inboxes.
  • It does not offer a permanent free plan.

Which Features Matter Most?

Most people get the largest benefit from four tools: SaneLater, the Daily Digest, SaneBlackHole and reminders. If you only need sorting, start there. If you have an old backlog, add Deep Clean. If you juggle projects, SaneTodo and snooze can help. Read the full SaneBox review for the pros and cons.
